Zoom (Known Issues) - UW Madison users on UW System Zoom instance

The University of Wisconsin Madison and the rest of the University of Wisconsin System both use the Zoom webconferencing platform, but they are on two separate Zoom instances. UW Madison users can attend meetings on the UW System Zoom instance (and vice versa), but users from one instance cannot log in to the scheduling portal or the Canvas integration for the other instance.

Scope

This issue most often arises in collaborative Canvas courses on the UW System Digital Learning Environment instance of Canvas that have students or instructors from UW Madison. In these cases, a user who has logged in to Canvas with a UW Madison NetID and email address isn't able to access the Canvas Zoom integration in the UW System instance of Canvas.

Workarounds

1) Direct Links to Meetings

Instructors on the UW System Digital Learning Environment instance of Canvas who are teaching Canvas courses which also include UW Madison students should include links to any Zoom meetings in the text of Modules, Pages, Assignments or Discussions for students to access.

Instructors should not rely on UW Madison users being able to access Zoom meetings through the Zoom link in course navigation, because any user who has logged in to Canvas with a UW Madison NetID or email address will not be able to.

2) Campus email credentials

In order for a UW Madison user to log in to the UW System Zoom portal (https://wisconsin-edu.zoom.us/) or the Zoom integration in the UW System Digital Learning Environment instance of Canvas, that user would need a an email address with Single Sign On capability from another UW System institution. A UW System institution enrolling UW Madison students in a collaborative program could issue them campus-specific credentials. This would result in the students having a second set of UW credentials, but it would let them access the UW System instance of Zoom.

Long Term Solution

A long term solution for this issue is difficult. 

Zoom uses email addresses as unique identifiers, and the same email address can't belong in two different Zoom licenses. 

Zoom also has a policy of  "managed domain," which allows enterprise Zoom account holders to claim the email domain associated with their enterprise. For example, "@wisc.edu" email accounts are always associated with UW Madison, and "@uwrf.edu" email addresses are always associated with UW River Falls.

Effectively, this blocks users with University of Wisconsin Madison email addresses from using those addresses to log in to the UW System Zoom instance, and it blocks Zoom users from other UW System institutions from using their UW email addresses on the UW Madison Zoom instance.
