Zoom - Cloud Recording Retention Policy
This information refers to Zoom meeting recordings, saving them, and their future retention.
- The Zoom recording retention process will be reinstated in the University of Wisconsin System (except for UW Madison) instance of Zoom on Thursday, October 28. The new retention period for Zoom cloud recordings will be 180 days, an increase from the former retention period of 120 days. Overall storage usage will continue to be monitored, and further adjustments may be required if storage grows too quickly. All Zoom users are encouraged to retain only the necessary recordings in Zoom and move them to longer-term storage locations such as Kaltura if the recording should be retained for longer than 180 days. UW-L and other UW System schools have now defaulted ON the 7-day e-mail notification for impending recording deletion.
Zoom Cloud Recording Retention Policy
Over the past several days, it has come to the attention of ITS and CATL, as part of the UWSA Zoom migration, there is a new retention policy regarding recordings in the cloud. UW System is imposing a 120-day retention period from the date the recording was made. This means if you create a recording using Zoom and wish to use for more than this 120-day period in the cloud, you must download it and locally save the recording. You could always directly save your Zoom recordings to your local computer. ITS has turned on an e-mail notification warning so you will receive notification when your cloud recordings will be permanently deleted from the trash in 7 days (UWSA had set this e-mail notification to OFF as the default). You are encouraged to confirm your Zoom settings showing this e-mail notification is set to ON (blue).
What does this mean for recordings from the past year?
ITS has been in contact with UWSA and Zoom regarding this issue and have successfully restored approximately 500 files from as far back as January 2021. You are strongly encouraged to see if you potentially are missing any recordings. Zoom engineering is attempting to see if additional files can be restored. UWSA would like to know if any faculty need to have specific data restored. If you are missing a past recording you feel is essential, please email firstname.lastname@example.org with your name, date and the meeting ID. We cannot guarantee the file can be restored, but UWL will be working directly with Zoom to try and regain any files we can.
How to save files
