Qualtrics - access and information

Qualtrics is web based survey software that is currently being used by UWL. Students, faculty, and staff are able to use Qualtrics for academic projects and other university business.

Where do I go for help using Qualtrics?

There are extensive help articles and tutorials available at the Qualtrics University website.

How do faculty, staff, and students access Qualtrics?

Are you a NEW user to Qualtrics? If you have not logged into Qualtrics previously you will be prompted to create a new account. Follow the instructions to create a new account.

Are students limited at all when using Qualtrics? Qualtrics is a sophisticated tool that allows for different levels of access for each individual. By default, faculty and staff have very few restrictions placed on their accounts. Students are allowed very broad access to all of the features in Qualtrics, but are more limited than faculty and staff. Most notably, students cannot send more than 10,000 survey invitations to a survey sample through Qualtrics. If a student needs their permissions in Qualtrics modified to complete their project the student's faculty advisor should contact the Eagle Help Desk on behalf of the student to see if permission changes are able to be made to meet the student's needs.

Can groups work together on a single survey? Yes, providing each person has logged into Qualtrics at least once. They can then create surveys and share them amongst themselves to work collaboratively. For more information on collaboration visit http://qualtrics.com/university/researchsuite/basic-building/getting-started/collaboration

Can you give someone a copy of your survey instead of collaborating? Yes, providing each person has logged into Qualtrics at least once. You can create a survey and may choose to send a copy to someone else. To copy a survey, click the Copy button to the right of the survey from within Qualtrics.
Note: When copying surveys in Qualtrics, you will have to select to Copy to: Another User Account. Usernames in Qualtrics are the other user's email address followed by #uwlax (e.g. last.firs@uwlax.edu#uwlax). It will verify that it is a valid username before you click Copy. For more information on copying surveys visit http://qualtrics.com/university/researchsuite/basic-building/getting-started/introduction/my-surveys/#SurveyTasks

Is there a way to preview my survey? You can see what your survey is going to look like to respondents by choosing “Preview Survey” from the survey editor.

Issues with Qualtrics Surveys going to email clutter or spam? Please be aware that any surveys created with Qualtrics will have the “from” address as noreply@qemailserver.com. Based on email habits established by each user, these email may be routed to the clutter folder over time if the user ignores or deletes these emails. I may be a good practice to remind your distribution group to review their clutter and or spam email folders.

Note: Before distributing your survey, you will want to delete any data that have accumulated from previewing/testing the survey instrument. To do this, click on “View Results” on the top row of tabs and then select “Edit Results.” Test data can be identified by the phrase “Survey Preview” in the “Respondent” column. To remove these cases, click the check boxes next to them and click the “Delete” button.

How do I distribute my survey? Surveys on Qualtrics can be distributed using the Qualtrics Mailer or by sharing a Anonymous Survey link on a website or in another format such as email. Surveys sent out using the Qualtrics Mailer can be configured to allow each recipient to complete the survey only once (each link sent using the Qualtrics Mailer is unique to the individual receiving it). This allows to users to complete a survey if they exit it without finishing it and will not allow them to take it more than once. The generic link can be given to anyone and taken as many times as needed.

How can I get email samples to use for my survey? You can request samples of campus emails from the Office of Institutional Research, Assessment, and Planning on their data request page at https://www.uwlax.edu/institutional-research/request-assistance/data-request/.
